The Iowa Division of Labor Boiler & Elevator/Amusement Rides is looking for a Secretary 1 to join our team!

 
Job Description

Only applicants who meet the Minimum Qualification Requirements and meet all selective requirements (listed below) will be placed on the eligible list.

Enter data retaining to boiler and pressure vessel inspection program into web-based software applications. Interpret and input data from boiler and pressure vessel related inspection activity. Monitor web-based software and database performance and notify supervisor and vendors of needed changes in database applications. Properly store back ups to data. Assist with scheduling of inspections under supervision of Boiler Safety Coordinator. Receive and process mail for the boiler and pressure vessel division. Prepare files and assimilate information required for variance proceedings.

Prepare statistical reporting for use in quarterly and annual reports. Prepare similar reporting to disseminate the boiler safety board. Respond to telephone calls and inquiries from the public, boiler safety board and field staff. Answer routine phone calls, determine complexity of response and forward to Boiler Safety Coordinator or Bureau Manager if necessary. Resolve complex billing questions with the general public, process refunds if warranted. Maintain files and database, retrieve statistical information as needed.

Receives and processes applications from elevator contractors, elevator companies and amusement companies for new elevators, elevator alterations request, wind tower installations and amusement rides. Reviews applications to verify completion, and if necessary, return to applicant for corrective action. Enters new and updated information into database tracking systems and assigns elevator state numbers as required.
Prepare and mail invoices, certificates, overdue lists and other correspondence as required. Maintain statistical data relating to manpower allocation, completed inspections categorized by state and third party inspection firms.

Assist with the log maintenance of delinquent inspections. Aid in the distribution of work assignments by verifying work reports. Notify inspectors of messages from public to complete scheduling of new and overdue inspections as required.

Maintain office supplies for work area, order replacement supplies when necessary. Offer suggestions to improve work product and office procedures. Other duties may be required.

  • Number of errors
  • Net words per minute (one point deduction for each error)
  • Your name and date must be on the document submitted to this office.
  • And it must be signed off by a witness or another person not just from the typing website's electronic signature. 
  • You may attach the document to the online application.

 

Minimum Qualification Requirements

Experience equal to one year of full-time clerical or closely related work;

OR

post high school course work in an accredited secretarial, business, or closely related curriculum may be substituted for the required experience on a month-for-month basis;

OR

completion of thirty (30) semester (or equivalent) hours of undergraduate college level course work may be substituted for the one year of required experience;

OR

certification from the State of Iowa Administrative Assistant Certificate Program will substitute for six months of the required experience;

OR

employees with current continuous experience in the state executive branch that includes permanent status as a Typist–Advanced.
